One visit, seven departments: how a record moves through Wellness

Follow a single outpatient visit from the reception desk to the general ledger, and see why nothing is typed twice.

A patient arrives at reception at 8:40. What happens to their record over the next few hours is the clearest way to explain what Wellness is.

08:40 — Reception

The receptionist searches by name, national ID or medical record number. The patient already exists, so their demographics, insurance policy and outstanding balance appear in one view. The receptionist checks them in against the morning's appointment. This opens an encounter: the object every other department will work on for the rest of the day.

09:05 — Consultation

The physician opens the encounter in the electronic health record: history, vitals entered by nursing, previous results, and a pre-visit brief prepared by Wellness AI from the whole record. They order a full blood count and a chest X-ray. Each order carries the tariff price for the patient's payer at the moment it is placed, so the patient's share is visible before they leave the room. When the physician writes the prescription, the interaction check runs against the patient's current medications and allergies before the order is signed.

09:30 — Laboratory and imaging

The lab receives the order as a worklist item, not a paper slip. The sample is collected, resulted and validated, and the result posts back to the same encounter. Imaging works the same way; for supported studies, a draft read is waiting for the radiologist when the study enters the worklist. Pharmacy dispenses against the prescription, and stock decrements in the same movement.

11:15 — If the patient is admitted

An admission converts the encounter without re-registration. A bed is assigned from the ward map, daily charges accrue for as long as the bed is occupied, and discharge closes the stay and releases the bed.

Same day — Revenue cycle

Every priced item on the encounter, from the consultation and tests to drugs, bed-days and procedures, lands on one invoice. The payer's portion becomes an insurance claim; the patient's portion is collected at the cashier. Collections, rejections and re-submissions are tracked against that same invoice.

Month end — Finance

Invoices, receipts and stock movements post to the general ledger under their cost centres. The finance team sees the visit as journal lines. The physician sees it as a chart. The patient sees it as a bill.

It is one record. Every department looks at it from its own side.

Wellness has 28 modules across eight areas, but it is organised around this single idea. The encounter opened at 8:40 is the same object the lab resulted to, the cashier collected on and finance closed at month end.
